INTRODUCTION

Events and Functions Management is an art that requires meticulous planning, seamless organization, and flawless execution. It entails a series of carefully crafted steps that work together harmoniously to create unforgettable experiences and achieve desired objectives. At the heart of successful events management lies the power of preparation.

From the grandeur of anniversary functions to the engaging energy of staff orientations, from the festive cheer of Christmas parties to the cultural richness of Chinese New Year luncheons and dinners, and from the adventurous allure of outdoor activities, we cover a wide range of events types. Our comprehensive curriculum ensures that participants develop the necessary expertise to tackle any event with confidence and finesse.

To truly thrive in the world of events management, it is essential to embrace innovation and mitigate risks. With our emphasis on new ideas, risk management, and contingency planning, participants will gain the tools to navigate unforeseen challenges and turn them into opportunities for success. AWARD OF CERTIFICATE
A participant who has:
1. maintained a minimum of 70% attendance of total lecture hours (i.e. 6 out of 8 sessions);
2. passed the mid-term exercise; and
3. passed the final project will be awarded a “Certificate in Event and Function Management”.

1. Overview on types and functions of different events
• What is an event?
• Stakeholders, i.e. identifying all parties involved and their respective interests
• types and functions of different events (external and internal)

2. Planning considerations in events management
• Needs assessment
• SWOT analysis(Strengths, Weaknesses, Opportunities, Threats analysis can help identify the internal and external factors that may impact the event’s success)
• Communication to stakeholders
• Research for events
• Programme creativity design, crafting an engaging and compelling one
• Theme development (i.e BIG idea), a delicate balance of creativity and strategic thinking
• Case sharing

3. Events planning and administration, including
• Strategic plan establishment
• Timeline for events
• Budgeting for events, e.g. estimating cost, allocating resources, monitoring expenditures
• Recruitment, selection and training and development of staff (including part-timers)
• Tender bidding, proposals evaluated for quality, cost and fit
• Vendor selection, evaluating experience, service offerings, cost and value proposition
• Contract signing, ensuring all contractual terms and conditions are clear
• Preparation of programme rundown, always with contingency plans

4. Venue preparation and management
• Site inspection
• Develop appropriate resources

5. Business Etiquette and Protocol
• Invitation etiquette (RSVP)

6. Ethical Issues
• Typical Ethical Issues, e.g. discrimination, privacy concerns and sustainability
• Avoidance Measures in Events, e.g. enforce codes of conduct, ensure inclusive practices
• Check the authorities, e.g. complying with laws, regulations and industry guidelines
• Establishing and procedures for ethical issues, e.g. developing policies and training staff
• Case sharing

7. Risks identification and contingencies planning
• Preventive measures, e.g. identifying risks and implementing safeguards
• Event operations monitoring, e.g. assessing and optimizing event logistics
• Permits and licenses from authorities to host and operate events
• Crowd control, developing strategies to manage event attendance and flow safely
• Contingencies planning, anticipating issues and preparing alternative actions
• Case sharing and discussion
